Types of Work Order Requests

Lighting/Electrical
Need light bulbs or ballasts installed or replaced.

Keys
Additional keys or alterations to locks. Upon initial occupancy Tenants will receive two keys per lockset to their suite. Additional keys can be purchased from Property Management for a nominal fee. Requests for lock work should also be made to Property Management.

HVAC
Hot/cold calls or additional HVAC after-hours.

Heating, ventilation and air conditioning (HVAC) systems in the building operate Monday through Friday, 6:00 a.m. to 6:00 p.m. except areas with 24-hour operations as specified by the Tenant. However, the HVAC system is controlled by floor, so the hours can be adjusted to accommodate individual Tenant operating times.

If at any time during working hours you experience uncomfortable temperatures within your suite, contact your agency Tenant representative for assistance.

The following tips will help manage the temperature regulation, allow the HVAC equipment to operate more efficiently, and save energy:

1. Turn off all lights in areas that are not in use.
2. Do not place computers, desk lamps, or other heat sources next to a thermostat.

Should you require extended hours for heating and cooling, please contact the Property Management office prior to 3:00 p.m.

Janitorial Services
Cleaning of non-standard improvements or disposal of large items.

Nightly janitorial services are provided Monday through Friday between 6:00 p.m. and 2:30 a.m. If you have a special cleaning request, your agency designated Tenant representative will issue a Work Order Request to the Property Management office.

For janitorial services during the day, please notify your agency designated Tenant representative who will contact Property Management to take care of your needs. There is a Day Porter on-site between the hours of 7:30 a.m. and 4:00 p.m. to assist with any needs that may arise.

The janitorial staff is instructed to empty and dispose of everything found in the trash and recycling containers, without regard for their content. For your own protection, please do not use trash or recycling receptacles/boxes as storage containers. We cannot guarantee that items stored in this manner will not be mistaken for trash.

Kitchen waste is comprised of trash, recycling, glass and composting. Please take the time to ensure waste is being disposed of properly.

If you have cardboard boxes for disposal, please flatten then stack within the designated area and the janitors will make sure that they are removed and baled for recycling. Boxes that are not flattened will not be removed without prior authorization. Your agency designated Tenant representative can make special arrangements for the disposal of large boxes or large quantities of boxes by contacting the Property Management office. At no time should boxes, trash or excess materials/equipment of any kind be left in the hallways, lobbies or any area designated as a fire exit. This type of material should be left in the designated area for removal by the janitorial staff.

If your office is planning a large cleaning project, please make arrangements for this service with the Property Management office.

Recycling & Composting
Request for recycle boxes or compost bins.

Recycling
Wright Runstad & Company has instituted a building-wide recycling program. Employees should use their desk side recycle box for the collection of paper (white or colored paper, the wrapper for the ream of paper, newsprint, faxes, magazines, envelopes and post it notes can all be recycled). If you do not have a desk side recycle box please call your agency designated Tenant representative and one will be provided.

Workrooms contain large collection bins and a receptacle for hot trash/secured shredding. Break rooms have under-counter receptacles for recycling, glass, aluminum, tin and food compost.

Tenants shall empty their own desk side recycle boxes into the large, central collection containers located in work rooms and other designated locations.

Janitors will remove the large central recycle and shred containers when the bin is half or more full and replace it with an empty bin. If a bin fills during the day, please contact your agency designated Tenant representative to have it replaced with an empty bin.

Compact florescent bulbs used by Tenants can be placed in the designated container located inside the print/copy rooms.

Alkaline batteries (AA, AAA, C, D) can be placed in the designated bucket located in the print/copy rooms.

Rechargeable batteries (laptops, cell phones, etc.) must be placed inside the supplied plastic bags then placed in the designated cardboard box located in the print/copy rooms.

For environmental reasons, computers, monitors and other electronic equipment are prohibited from the regular trash and need to be properly disposed of through your agency. Your agency designated Tenant representative can provide more details.

Please do not mix papers to be shredded with other recyclable items and do not mix recyclable materials with general trash and other forms of waste. For more information about recycling, particularly removal of unusual items like office equipment and electronics, contact your agency designated Tenant representative.

Composting Composting services are also available at the building. Composting bins are located in each kitchen throughout the building. You may place food scraps, food soiled paper products, and plant scraps into these bins. If you have any questions or need a complete list of compostable items, please contact the Property Management office.

Event/Function Guidelines
Requests for additional services, Security, parking, trash removal, etc.

If you’re planning a Tenant function (e.g., party, reception, fund-raiser), please notify your agency designated Tenant representative at the planning phase (no less than 48 hours prior to event). The Property Management office maintains certain policies and procedures that assist in coordinating the event, limit liability of the building, and provide for the safety of all visitors and guests. The Property Management office may ask for the following: date and time of event, number of guests, overtime HVAC requirements, service elevator use, janitorial needs, security requirements, and Certificate of Insurance. No function may be held in the common area or on the grounds without prior Property Management approval.

Outdoor Events Guidelines
If you’re planning an outdoor event (BBQ, picnic, etc.) please notify the Property Management office at least two days prior to the event at 360-359-4790 or 1500mgmt@WrightRunstad.com. This will help prevent conflicts with other plaza users and assist Property Management with preparing for any special service needs before or after the event. Group events are allowed in the South Plaza and Terrace on the third floor.

BBQs are permitted, with the following restrictions, by the Olympia Fire Department and Property Management:

  • Propane BBQs only; no charcoal BBQs permitted.
  • BBQs must be removed from the site after the function and may not be stored at the building.
  • Property Management will designate the location for BBQs in order to avoid smoke or fumes from entering the building or the air intake vents. In inclement weather, BBQs cannot be placed under building overhangs due to proximity to doors and air intakes.
  • The area under a BBQ should be protected from grease/food splatter.
  • Tenants are responsible for set-up and take-down of BBQs, outdoor furniture, etc. and for clean up after the event. Tables and chairs are permitted to be moved. Please return furniture to the original location at the end of the event. The Plaza and Terrace should be restored to the same condition as prior to the event.
